Q2: Why isn't Komen funding quality of life or psychosocial research in 2010-2011?

Quality of Life and Psychosocial Research
Komen recognizes that issues such as symptom management, quality of life, end of life care, and other psychosocial aspects of breast cancer are important areas of research. Because Komen has sharpened its focus in research funding opportunities to emphasize rapidly bringing laboratory discoveries to the clinic and developing new therapies that will reduce deaths from breast cancer and ultimately, prevent the disease, we have not included these research areas in the annual research focus. These important issues, however, may be the focus of future funding opportunities.

Q3: What's new about Komen's application process?

Grant Characteristics

  • Grant Objectives — each grant type now has a specific outcome-focused objective providing a clear statement of intent and allowing assessment of research portfolio outcomes.
  • Annual Research Focus — each grant type now specifies an annual research focus that helps target research investments and provides greater guidance about Komen priorities.
  • Project Requirements — several grant types specify components that must be included in applications. These requirements are outlined in each RFA and may include, for example, mentor committees, research integration, advocate involvement, and grantee collaboration.
  • Co-Principal Investigators — several grant types now allow Co-Principal Investigators, including the Investigator Initiated Research grant and the Postdoctoral Fellowship. The Promise Grants require Co-Investigators having laboratory and clinical expertise to foster multi-disciplinary research.
  • Eligibility Requirements — eligibility requirements for most grant types have been refined to strengthen the relationship between grant outcome objectives and applicant characteristics.
  • Review Criteria — review criteria are now specific to the objectives of each grant type in order to more closely align evaluation of applications with grant objectives. Additionally, criteria descriptions have been revised to add clarity and focus to the issues to be assessed.

Q4: Can I receive additional guidance to determine if my research topic is relevant to a particular grant type or to determine to which grant type my research is most relevant?

Komen strives to provide guidance within each RFA to guide the research community in determining if their research aligns with the annual research focus. We encourage applicants to read the RFAs carefully to best understand the application requirements, grant objectives, annual research focus areas, and evaluation criteria.

Q5: Can I receive additional guidance on how to best express scientific data (e.g., study findings) in my application?

Due to the number of applications we receive and in fairness to all applicants, Komen Grants Program cannot provide assistance to applicants in determining how to best express scientific data or other application content. We encourage applicants to read the RFAs carefully to best understand the application requirements, grant objectives, annual research focus areas, and evaluation criteria.

Q6: I am currently funded as a postdoctoral fellow through Komen, am I eligible to submit applications for other grants?

Assuming that all past and current Komen-funded grants or awards are up to date and in compliance with all Komen requirements, you are eligible to submit an application under any of the current RFAs with the exception of Postdoctoral Fellowships.

Q7: Can I submit more than one application?

Applicants may submit multiple applications for funding under different RFAs, except as specifically precluded in the eligibility criteria for each RFA. For example, applications may not be simultaneously submitted for funding under the IIR and CCR RFAs. Applicants also may submit multiple applications under the same RFA, except as specifically precluded in the eligibility for each RFA. For example, the same PI/Mentor may not submit multiple PDF applications supporting multiple fellows in the same funding cycle/year. Multiple applications submitted by the same PI under the same RFA will proceed through the normal peer review process, but will undergo an additional administrative review following peer review to assess the similarity of proposed research across multiple applications and the potential impact of research similarities on the RFA objective and research focus requirements. Similarities in research focus and/or outcomes that reduce the potential of a research project to further the RFA objective may result in elimination of one or more applications from funding consideration.

Q8: How does Komen define an R01-type grant?

R01 type grants are defined by Komen as independent research grants made to an investigator as the PI or Co-PI. The intent of the Career Catalyst Research grant is to provide unique opportunities for early-career faculty scientists in the early stages of their careers to achieve research independence. In light of the objective of this RFA, if an investigator has received an independent research grant as a PI or Co-PI, similar to NIH's R01, they are not considered to meet the eligibility requirements of the Career Catalyst Research RFA.

Research grants exceeding $100,000 total are considered independent grants because they provide the opportunity for an investigator to establish research independence. Applicants must provide a complete list of existing and pending research support, including funding amounts, with their application.

Q9: How many grants will be funded in each mechanism this year?

Final allocations of funding for research are based on available funds at the end of Komen's fiscal year. As a non-profit, non-Governmental organization, Komen's available research funding is highly dependent on individual donations and other partners and sponsors. Funding levels over the past decade have risen steadily each year, from $8 million in 1997 to $55 million in 2010. Komen is committed to funding as many worthy research grants as possible and will make final determinations at the end of its fiscal year.

Q10: I submitted a research grant for the previous funding cycle, but it was not funded. Can I submit a revised version as a resubmission under the new funding cycle? Am I required to specify that the application is a resubmission?

Komen does not distinguishing resubmissions from new applications. You may submit an application that was not funded under a previous grant cycle, but the application will be reviewed as a new application, the application will not be marked in any was as a resubmission, and prior review comments or applicant responses will not be assessed.

Q11: Are the Komen application reviews "blinded"?

The Susan G. Komen for the Cure Grants Program is no longer conducting blinded reviews. PI information included in the application will be available to all reviewers on the review committee.


Grant-Specific

The primary purpose of the mentor committee is to foster the PI’s development of necessary professional skills for research independence by providing research, scientific, clinical, management, and leadership guidance. The specific roles and time commitments of each member of the mentor committee must be specified in the Career Development Plan and letters of support from each member of the committee must be provided. It is up to the discretion of the PI to determine how many mentors are appropriate.

Q13: Is it possible to include a Co-PI on my CCR application?

A CCR grant is awarded to a single Principal Investigator.

Although it is your organization’s decision about who will represent your organization in Grants Access, we recommend designating one individual (the person responsible for negotiating funding) and associating their account with a sponsored programs generic email address that could be monitored by all individuals within your office.

  • Q17: Can I update the information in my account on the Grants Access Web site, or do I have to start a new account?

Q17: Can I update the information in my account on the Grants Access Web site, or do I have to start a new account?

The Contact Information tab in the "My Profile" section allows users to edit all information in a profile, including email address. However, once the information has been changed we recommend "set as default" in order that the most current profile is used to pre-fill future applications.

Q18: How do I change my Username and Password?

This information can be changed in the My Profile, Account Info tab. It is not required that your User Name be your full email address. Note that no special characters are permitted in passwords.

Q19: I have created multiple accounts on Grants Access. How can I fix this?

Q20: What are the DUNS and EIN numbers? How do I locate this information?

The DUNS number is a unique nine digit identification number for each physical location of your business. The EIN number is assigned by the Internal Revenue Service. If you are unsure of these numbers, please check with your Application Signing Official (ASO) at your organization or institution; he/she should be able to provide these numbers to you.

Q21: How often is it required that I update my biosketch in the My Profile section?

Please upload a new biosketch once per fiscal year.

Q22: I need to create additional contact records in My Profile. How can I accomplish this?

The Contact Information tab allows multiple profiles for each individual. Click on the "create a new contact record" link to enter the additional contact information. You can then save the changes and/or set this new contact record as default. Please note that the contact information that you "Set As Default" will prefill into the Contacts and Eligibility tab of your application.

Q23: My institution/organization is not listed in the organization drop-down list. How should I enter this information?

Enter the official name of your institution/organization in the "Other" field directly below the organization drop-down list field. We will periodically update the list of organizations to include new organizations.


Contacts and Eligibility

  • Q24: When assigning an Alternate Submitter or Application Signing Official (ASO), do I need to fill out all three "search" fields — Last Name, Email Address, and Institution?

Q24: When assigning an Alternate Submitter or Application Signing Official (ASO), do I need to fill out all three "search" fields — Last Name, Email Address, and Institution?

Please choose only one option at a time for your search. If you do not know your institution's primary ASO, please contact your Sponsored Programs Office (or equivalent) before selecting a contact from the search results.

Q25: Do I need to finalize the Contacts & Eligibility tab after assigning an Alternate Submitter or ASO to my application?

Do not save this tab as final until you are ready to submit all tabs as final for ASO approval and submission of the entire application. Each tab has a "Save Change as Draft" button to save any changes made.

Q26: I completed a search but the person I wanted to assign to my application was not in the database. What is my next step?

Once the search has been completed and no data are found, you will see a "Send An Invitation" link on the search screen. Click on this link, enter the invitee's email address and name in the fields provided and hit send. The invitee will receive an email with a link directing him/her to register on the Komen Grants Access Web site. Once he/she has registered, he/she will automatically be assigned to your application. Please be sure to enter the correct email address of the recipient.

Q27: I am trying to change my address and phone number in the Contact & Eligibility tab, but it will not accept changes.

All changes to data viewed in the Application Contacts tab must be entered or edited in the My Profile tab and the Application Contacts tab must be in "draft" mode. Once these changes are saved, you will be asked whether you want to update the information on any applications in progress.

Q28: I am not sure if I am eligible to submit an application to the Susan G. Komen for the Cure program. How do I proceed?

Eligibility criteria can be found in two locations: 1) The RFA Guidance; 2) the Contacts & Eligibility tab.

Q29: Who is responsible for adding an Alternate ASO and Grants Contract Official?

The primary ASO is responsible for adding Alternate ASOs and Grants Contract Officials prior to the approval and submission of the full application.

Q30: Can Co-PIs be from different institutions?

Co-PIs can be from different institutions for any award type that allows Co-PIs. The final grant award is made to each institution with the responsibilities of each institution specifically delineated in their respective grant awards.

Q31: When there is more than one PI on an application from different institutions which ASO approves the application?

The applicant who is listed as the PI in the Grants Access system will need the ASO from their institution to approve the application.


Application Summary Information

A drop-down list is provided in the Application Summary Information tab for a change in grant type. However, a change in grant type after the submission of a pre-application is not permitted.

Q33: The text fields on this page have characters limits. Do these character limits include spaces?

All character limits do include spaces. You can keep track of the amount of characters used for a particular text field by checking the character counter located at the bottom left of each text field.

Q34: The Applicant Description fields on this page are already completed. Where did this information come from, and how can I change it?

The Applicant Description data are retrieved from the My Profile — Descriptive Information tab. If you wish to make changes to this data, we recommend making the changes in the Descriptive Information tab. Upon saving this information, you will be prompted to add this information to your in progress application(s).

Q35: What is the Organizations Official Application Control Number?

The Organization Official Application Control Number is a number assigned by an institution to an application for tracking purposes and is not required for submission.


Collaborators/COIs & Biosketches

  • Q36: I am the Principal Investigator on an application and the Collaborators, COIs & Biosketches Tab shows that my biosketch is missing - but there is no field to upload the biosketch? How do I proceed?

As the Principal Investigator, you are required to upload a biosketch in the "My Profile" Tab at the top of the Grants Access screen. This biosketch must be updated on a yearly basis, and once uploaded will pre-fill into the Collaborator, COIs & Biosketches Tab of all current and future applications.


Abstracts & Project Proposal

  • Q37: I cut and pasted my Scientific Abstract into the text field, but it did not retain the formatting.

Text fields do not permit any special formatting; e.g., underlining, bold, bullets, tabs, special characters, subscripts or superscripts, diagrams, graphics, or pictures.

Q38: I uploaded my Project Proposal file, but received an error message that it exceeded the page limit. How do I proceed?

The Project Proposal file field has a page limit requirement. Please check your PDF document to ensure that it meets the requirements set forth in the RFA.


Budget

  • Q39: How are the budget line items defined?

Q39: How are the budget line items defined?

  • Personnel costs — All costs associated with personnel on the grant and to be paid by the grant (salaries and wages, and fringe benefits). Justification for Personnel Costs. Since personnel costs is a separate line item, it should be any personnel costs not associated with either of the two aforementioned categories and is not required.
  • Salaries and wages — Standard payment for services rendered. The salaries of the PI's, Co-PI's and key personnel on the project. Percent effort must be provided for the PI, CoPI, and all key personnel even if they are not being compensated. Percent effort for each should be included in the Salaries and Wages section under Budget Justification. If a collaborating investigator is considered key personnel, they should be included in the personnel costs and the associated budget justification.
  • Fringe benefits — various non-wage compensations provided to employees in addition to their normal wages and salaries. Fringe benefits can include but are not limited to: housing, group insurance (health, dental, life etc.), income protection, retirement benefits, sick leave, vacation (paid and non-paid), social security, funding of education, and other specialized benefits.
  • Supplies — Costs for any supplies needed for the execution of the project that will be funded through the grant (i.e. lab supplies, etc.)
  • Equipment — Costs for any equipment needed for the execution of the project that will be funded through the grant (i.e. cryostats, centrifuges, etc).
  • Patient care costs — Costs associated with the care of any patients (i.e. human subjects) proposed and to be supported by the grant.
  • Travel — Any travel to be funded through the grant (i.e. scientific meetings, grantee meetings, etc.)
  • Other expenses — Expenses that will be funded through the grant not captured in any of the other budget line items (tuition, etc.).
  • Consortium/contractual cost — Costs associated with subcontractor or consortium (grants made to other organizations or institutions).
  • Subtotal direct costs — Total of all direct costs which include, salaries and wages, fringe benefits, supplies, equipment, patient care costs, travel, expenses and consortium/contractual costs.
  • Indirect cost allocation — Indirect costs are all expenses not directly related to the conduct of the project, including allocated costs such as rent, utilities, etc.

Q40: When I attempt to save budget information, I receive an error message. How can I save the information?

Please make sure that no special characters such as dollar signs, commas, or periods are being used and that you have not exceeded any of the character limits.

Q41: Are there character limits in the budget fields?

Item labels are limited to 12 characters including spaces, and justification statements are limited to 1200 characters including spaces.

Q42: How should indirect costs be calculated for subcontracts?

Total indirect cost allocation cannot exceed 25% of the total direct costs for the primary and any sub-contracting institutions combined. Only one budget line item is provided for all indirect costs, which should include all collaborating organizations.

Q43: What is Komen’s policy on overhead rates?

Komen does not have any specific requirement for overhead rate however the total indirect costs including overhead cannot exceed 25% of direct costs.


Supporting & Regulatory Documents

  • Q44: Signatures are required on certain documents. How do I do this?

Q44: Signatures are required on certain documents. How do I do this?

We recommend printing the document, signing it, and scanning it back into electronic format prior to converting to a PDF file. However, we do accept digital signatures on these documents.

Q45: What is the recommended maximum application file size?

We recommend that application files do not exceed 20MB; however, the Grants Access Web site will accept files larger than 20MB. Acrobat Distiller may be used to compress files if necessary. (See the PDF Instructions/Guidance section of this FAQ for details).

Q46: On the Research Support template there is a section for "Role and % LOE". What does "LOE" stand for?

LOE stands for Level of Effort.

Q47: I would like to include letters of collaboration with my application. Is this allowed? If so, where can they be included?

It is acceptable to include letters of collaboration with your application. Letters of collaboration should be uploaded with the Letter of Resource Support document — as one pdf file — in the Supporting Documents Tab of your application.

Q48: Where can I upload appendix materials?

There is no section of the application to include appendix materials. All figures, tables, and diagrams must be included within the project proposal PDF document.

Q49: I would like to include preliminary data with my application, is this allowed? If so, where should it be included?

Preliminary data may be included in your application; however, Komen has not designated a specific section of the application for this information.

Q50: Why are some applicants required to upload Regulatory Assurances, but others are not?

If an applicant indicates in the Application Summary Tab that their research involves humans/animal, there will be a requirement in the Supporting & Regulatory Document Tab for upload of an IRB approval. As this documentation is only required at the funding stage — as shown in the RFA — we recommend the PI upload a document stating that IRB approval is in progress.


Approval & Submission Questions

Pre-Application Submission

Check the status of each tab of the pre-application—Contacts and Eligibility, Application Summary, Collaborators/COI's and Biosketches. If any of these tabs are labeled "draft," go directly to that tab, scroll down the screen, and click the "Submit Final" button. This will change the status of the application from "draft" to "Pending Pre-Application Submission." You will then be able to submit the pre-application.

Q52: Is ASO approval required for my pre-application?

ASO approval is not required for the pre-application stage.


Letters of Recommendation

  • Q53: An individual I invited to submit a Letter of Recommendation did not receive his/her invitation via email? Who should I contact?

First, please check the invitees' email address in the Supporting & Regulatory Documents tab to ensure accuracy. Second, check with the recipient that the invitation was not caught in an email spam filter. Third, if necessary, you may send a new invitation in the Supporting & Regulatory Documents tab and delete the first invitation. However, please note that if the invitee accesses the deleted invitation, he/she will receive a message that this invitation is no longer valid or required.


Full Application Submission

  • Q54: The Approve and Submit Application field is not active and/or is grayed out. How do I proceed?

First, check the status of the tabs to ensure all data is complete and all tabs are in "Pending ASO Approval" mode. Secondly, our pre-application and full application receipt deadlines are 8:00 PM Eastern Time. If the receipt deadline has passed, the Web site will be shut down, and this field will no longer be active.

Q55: When reviewers receive my full application, will they have access to my pre-application as well?

Reviewers will not receive a copy of the pre-application when they receive the full application for review.


Funded Application Issues and Notifications

Portable Document Format (.pdf) Instructions/Guidance

It is recommended that Applicants and ASOs unfamiliar with the preparation of .pdf software acquaint themselves with these files prior to the receipt deadline. The assistance of your institution's technical support personnel can be pursued in this task. However, the following are basic instructions for combining multiple .pdf documents, compressing a file, editing a file, and checking font size and lines per inch.

It is the responsibility of the Applicants and ASOs to check their .pdfs prior to uploading the documents to the Grants Access Web site to ensure that it meets the specific RFA requirements applicable to each award type.

.PDF Document Problems

Page Limit Requirements - Inserting a Page Break after the last line of the application body text will prevent the text from overflowing to the next page upon conversion to .pdf.

Combining .PDF Documents

Certain documents may be compiled as separate .pdf documents, these can be put together with the basic command "Insert Pages."

Compressing a file - (recommended maximum file upload size 20MB)

Adobe Acrobat 5.0 or less

  • Open .pdf document
  • Select File
  • Go to Print
  • In drop-down box for printer selection - select Adobe Distiller or Adobe .pdf
  • OK
  • Save Document As _____
  • OK

Adobe 6.0 and up

  • Open .pdf document
  • Select File
  • "Reduce File Size"
  • Save Document As _____
  • OK

Editing a .pdf File Adobe 6.0 and up

  • Go to Tools
  • Advanced Editing
  • Touch up Text Tool
  • Select the text area to be edited
  • Make Changes
  • Select Save

Font Size Check

Adobe 6.0 and up

  • Tools
  • Advanced Editing
  • Touch Up Text Tool
  • Right-click on text with mouse
  • Once box appears around text - right click mouse and select "Properties"

Adobe 5.0 or less

  • Advanced
  • Editing
  • Attach Text Tool
  • Right-click on text with mouse
  • Once box appears around text - right click mouse and select "Properties"

** Rulers and Grids to view lines per inch may be found under the "View" option in the standard toolbar.
This option is not available when using the "view" in the Required Files Tab.
The PDF must be saved to your computer to view the rulers and grid.
